Exec meeting Minutes
Sunday 19th October 2025

2. Exec Updates
- ollie has no updates, will discuss bi-elections with Eric
- Dallon says we have lots of new people joining, and they are currently responding to emails
- Leah has said that the website being back up has allowed easier scheduling
- Aidan says it’s been going well, turning profit even including publicity, talked to Andy about potentially fixing the platter (a future thing)
- James says socials are going well and people are going to them, the pub quiz is coming up in a week and would appreciate any help, on the rotas you can sign up to help with the tech side of things, anyone who wants to help host with James would be appreciated, Aidan said that he can help sell tickets
- Marnie: films are arriving and term 2 schedule programming meeting is happening on Wednesday, we will be booking Frankenstein, 2001 is next week and might need mag sound testing however Julian says that it will work fine, suggested we need to sort deadlines
Frankenstein
- discussions about cost raised by Aidan and Ollie, The Killer did quite well having around 50/60 people going and Frankenstein has more hype than the killer
- Cerys suggests that having a lot of publicity before it is released on Netflix and we could have a collaboration with LitSoc
- James says that Frankenstein is a film he wouldn’t watch on Netflix but would watch in a local cinema, Dallon says that it is worth watching a big screen
- Aidan raises that it would be on a Wednesday when there is pop
- Ollie says that Frankenstein should have two posts, one after it is just booked and another normal one before the screening

Schedule confirmation should be in week 6, Marnie would like to have programme meeting each week until week 6
- Ollie has emailed the person about Alien on 70mm but is waiting to hear back from the Prince Charles about the rights as it is odd that they have the rights to it as they shouldn’t be able to
- Should we put the programming meeting in the schedule and a post, making it members only encourages memberships, when Lily sends out an email about the meeting she will
- Julian has 5 new trainee projectionists, has met with 3 of them to sort out signing up on rotas and is going to discuss emails with eric, is planning on a projection meeting soon, suggests that we should only programme two 70mm prints in term 3, will likely qualify on 35mm by the end of this term, Julian is okay to commit to continuing the same amount of 35mm prints
- Emrys can put something out about Rocky Horror Show and can make a second slide on the post
- Eleanor says that on the office computers that there is no photoshop or in-design so she wants to try and get adobe creative licenses, as they are owned through the University there is a cheaper option although it will be for the whole year which is £510 including VAT, previously we haven’t paid for it but going forward it would be good for a strong publicity team to be apart
- ollie suggests that we could do less computers, but Eleanor would like to run sessions
- Aidan says that it is worth taking the hit from the cost to help Eleanor, Zabi also agrees, although it would take from the cushion we have for the platter
- James says that as long as we are using it, Dallon says that marketing could possibly use it even though they have Canva
- Cerys says that it may be worth having only one computer and see how we get along with that
- Eleanor could make it work but it would be only training one person
- Emrys suggests that may be worth having two rather than three, Julian says we need more than one for training
- James says that it would be unfair to make one person’s workload more to save money and see it as an investment, as the money and success of welcome week can only be attributed to publicity
- Julian raises that one of these will also be for Eleanor so we should consider three

- Emrys points out that some of the stories have been wrong but the posts haven’t, Emrys is in a different time zone so it is on Cerys to check this
- Cerys says that proofing the Instagram, letterboxd and trailers are something needed to catch up with
3. New intake progress
- Dallon and Leah have said in the next few weeks they might have some new trainee DMs
4.AOBs
- Ollie raised the idea of collaborating with DragSoc although they are doing a collaboration with bad film society so Dallon raises collaborating with pride society, it is advertised as dressing up, there is a whole culture of calling things out while watching it and will be encouraged
- Marnie raises that there have been a few mishaps on the Instagram, Cerys says that this will change as she has been moving recently, Emrys says that the stories are just a mistake but will now be double-checking
- Marnie wanted the numbers for Puss in Boots 2 (around 40) as Marnie might need a number for Park Circus, although she can say that it was not ticketed
- James says that welcome week has done really well and this exec has reacted well to difficult situations
- Leah asked for an update on the EPOS, Aidan just needs to put interstellar and materialists, as Aidan can’t cash up but Leah and Dallon can continue without the doubles being put in
- Leah wants to try printing on other things but they are waiting on Eric to fix it as there is an issue for crossover to windows 11
- Eric won’t do handover, James says that Adam the new SU VP societies officer can help out with that, also another previous IT officer Josh will help
- Eric having life time and crew: unanimous agreement
- Aidan asks about needing new printer tills, but Dallon says that this isn’t need, a new hoover battery for around £30, invoices are getting paid, we still haven’t received the money from UniTemps
- Dallon says that we need a new test film on the website, however Marnie has already done it, we are also getting a new hoover from BnM and it is purple
- the blog is back with the website, Eleanor will be sending things out for this soon, although is only available on eduroam
-Cerys might ask someone else to upload blog items to letterboxd, Dallon has done the blog before, is on campus all the time and can help out with this
-Marnie wants to raises whether we prioritise future exec meetings or programme meetings
